What guidelines apply to employers when organizing vaccinations against COVID-19?

On the basis of the current assumptions of the vaccination program, communicated by the Chancellery of the Prime Minister, the Ministry of Health, the National Health Fund and the Chief Sanitary Inspectorate, W&W Consulting experts have developed a highly likely list of guidelines to be implemented by companies in just a few weeks.

The organization of vaccinations will rest with the employer, who should first prepare a list of willing employees and cooperate with the Medical Activity Entity – e.g. with a network of clinics serving workplaces in the medical field and then report this cooperation with the NFZ by filling in a dedicated form. Importantly, all costs related to the organization of the vaccination program for employees are covered by the company – i.e. those related to the purchase of additional equipment or rental of premises.

It will already be the responsibility of the medical entity with which the company has established cooperation to carry out vaccinations. Its scope will include the preparation of the vaccination calendar and the procurement of an adequate number of vaccines. Seconded medical personnel are to carry out vaccination qualifications, physically carry them out and draw up medical records. – The vaccination point should include a person authorised to qualify and carry out vaccinations, a person carrying out administrative activities – mainly filling in e-cards, and a person supervising the condition of patients after vaccination. Of course, all these activities can be carried out by one qualified employee, while it is recommended that the team operating the vaccination point should be up to 4 people. Optionally, it is allowed to provide an ambulance, stationed under the workplace on the days of implementation ofvaccination.

As for the location of the vaccination point , it will be able to be set up in the workplace, but also in the premises of the Medical Activity Entity with which the employer has established cooperation. – In the case of the organisation of a point within a company, its equipment should be consulted in advance with the Medical Operator. However, you can already identify 2 groups of necessary equipment:

  • Office equipment – m.in. desks, chairs, medical records cabinet, laptop with internet access, printer;
  • Medical equipment – m.in. tables, vaccine preparation trays, medical supplies, first aid kit, blood pressure measuring apparatus, stethoscope, thermometer, refrigerator for storing vaccines.

The point must be equipped with a washbasin with running water and soap dispensers, while the use of a mobile sink is also permitted. Of course, it remains on the employer’s side to provide means for disinfecting and disinfecting flat surfaces and dispensers with disinfectant fluid for workers, and the entire course of vaccination should be carried out in a sanitary regime – in masks and while maintaining an adequate social distance by waiting persons. Employees who declare their willingness to vaccinate with their employer should print out and complete a questionnaire prior to vaccination, which will be part of the qualification to carry out thevaccination.
